We are seeking a full-time Intake Specialist to guide potential clients through the first steps of the legal process — from initial contact to determining whether their matter fits within our firm’s practice. This position requires excellent communication skills, sound judgment, and the ability to balance compassion with efficiency.

This is a remote position, but applicants must reside in the Puget Sound region of Washington State. Work hours are Monday through Friday, 8:30 AM – 5:00 PM.

What You’ll Do

  • Serve as the first point of contact for potential clients by phone, email, and web inquiries
  • Conduct detailed intake interviews to gather facts, documents, and other information about potential cases
  • Evaluate whether the firm may be able to represent the individual based on established criteria
  • Communicate effectively and compassionately with individuals who may be in distress
  • Prepare summaries and recommendations for attorney review
  • Manage follow-up communications and track lead status in the firm’s case management system
  • Send and track representation agreements for approved clients
  • Coordinate the transfer of new client matters to the legal team for onboarding

Compensation & Benefits

  • $45,000 – $50,000 annually, depending on experience

Qualifications

  • Prior experience in client intake, customer service, or legal support required
  • Experience in a plaintiff-side law firm, especially personal injury or insurance claims, is a strong plus
  • Proficiency with Microsoft 365 (Outlook, Word, etc.)
  • Familiarity with legal case management or lead management software preferred
  • Excellent verbal and written communication skills
  • Comfortable asking detailed, sometimes sensitive questions while maintaining professionalism and empathy
  • Strong organizational skills and ability to follow up promptly and accurately
